Room Reservations Terms & Conditions

Please read these bedroom terms and conditions carefully before making or confirming a reservation. They are designed to help ensure a smooth, comfortable, and safe stay for all guests.

1. Reservations
• All bedroom reservations are subject to availability at the time of booking.
• A valid payment card will be required to guarantee the reservation.
• The person making the reservation is responsible for ensuring all details are accurate, including arrival date, departure date, number of guests, room type, and any special requests.
• Special requests are noted but cannot be guaranteed and would be subject to availability.

2. Rates and Payment
• Rates are quoted in pounds sterling and will include VAT.
• Payment terms will be stated at the time of booking and may vary by rate type, package, or promotional offer.
• Prepaid or promotional rates may be non-refundable and non-transferable.
• Any additional charges incurred during the stay, including food, beverages, services, or damages, must be settled before departure.
• Occasionally (very rarely), you might see an obviously incorrect price on our platform.
If that happens, and if you make your booking before we correct the mistake, your booking will be cancelled, and we’ll refund anything you’ve paid.

3. Cancellations, Amendments, and No-Shows
• Cancellation and amendment terms depend on the rate booked and will be confirmed at the time of reservation.
• Where a cancellation deadline applies, cancellations made after that deadline may be charged in full or in accordance with the booking terms.
• Failure to arrive without prior notice may be treated as a no-show and may result in charges being applied.
• Any refund due will be processed using the original payment method where possible.

4. Arrival and Departure
• Check-in and check-out times will be confirmed on booking.
• Early check-in and late check-out are subject to availability and will incur an additional charges.
• Guests may be asked to provide identification on arrival.
• Rooms must be vacated by the agreed check-out time unless a late check-out has been approved.
• Upon check in we ask for a credit/debit card as a guarantee of payments and any extra expenses. At this point a pre authorisation will be taken on your card.
• The authorisation will be processed for the full amount of stay plus £50 per night for incidentals spend.

5. Guest Responsibilities
• Guests are expected to behave respectfully towards staff, other guests, and the property.
• Only registered guests may stay overnight in the bedroom unless agreed in advance.
• Noise should be kept to a reasonable level, particularly during evening and nighttime hours.
• Smoking, vaping, or the use of candles or other open flames in bedrooms is not permitted unless expressly authorised in a designated area.

6. Damage, Loss, and Security
• Guests are responsible for any damage, loss, or additional cleaning required as a result of their actions or those of anyone in their party.
• Charges may be applied for missing items, damaged fixtures, excessive cleaning, or smoking-related cleaning costs.
• Guests are responsible for securing their belongings. The property is not responsible for loss or damage to personal items except where required by law.
• Lost property will be handled in line with the property’s lost property procedure.

7. Health, Safety, and Accessibility
• Guests must follow any health, safety, fire, and emergency instructions provided by the property.
• Fire alarms, safety equipment, and emergency exits must not be interfered with or obstructed.
• Guests with accessibility requirements should notify the property before arrival so that suitable arrangements can be discussed where possible.
• The property may need to enter bedrooms for maintenance, safety, security, or housekeeping reasons.

8. Pets and Assistance Dogs
• The hotel operates a no-pets policy, with the exception of assistance dogs.
• Assistance dogs are welcomed in accordance with applicable requirements.
• Guests are responsible for the behaviour of any permitted animal and for any associated cleaning or damage charges.

9. Privacy and Personal Data
• Personal information provided during the reservation process will be used to manage the booking, provide services, meet legal obligations, and communicate with guests.
Personal data will be handled in line with the property’s privacy policy.

10. Changes to These Terms
• The property may update these terms and conditions from time to time. The terms applicable to a reservation will usually be those confirmed at the time of booking, unless changes are required by law or for operational reasons.

Group Bookings Terms & Conditions

Wedding Bookings Terms and Conditions

Wedding bookings remain provisional until the signed contract is returned along with a non-refundable £1,500 deposit. Final menu choices, beverage orders and special dietary requests must be submitted at least 21 days before the event. The remaining estimated total must also be paid 21 days prior to the start date, with credit card details provided 14 days in advance to cover any extra expenses.

Guests must confirm final headcount numbers at least 7 clear days before the event, which establishes the minimum charge threshold. Additionally, an extra £1,500 non-refundable fee is required if the client wants exclusive use of the venue as the sole wedding of the day.

The policy outlines specific rules regarding cancellations, guest accommodations, and venue regulations. Bedroom check-in is set for 3:00 PM with check-out by 11:00 AM, and extending these times may incur extra charges. If a client cancels, they forfeit monies paid and must pay additional percentages of the total cost depending on the notice given: 30% for cancellations over 6 months out, 75% for 2 to 6 months, and 100% for cancellations under 2 months. The hotel can cancel the booking under specific conditions, including unpaid balances, safety/licensing breaches, or damage due to circumstances beyond its control (Force Majeure). Any complaints must be brought to management promptly, as issues submitted more than one month post-event will not be addressed.

Client responsibilities include adhering to strict safety protocols, maintaining noise control, and preventing property damage. A refundable venue damage deposit of £1,000 must be paid 8 weeks before the event to cover potential damages or policy non-compliance caused by the event party, caterers, decorators, or external vendors. Amplified music is strictly prohibited in the grounds or in La Terrazza, and noise levels are regulated by decibel meters. Furthermore, drones, fireworks, sparklers, smoke effects, confetti cannons, or any internal pyrotechnics are explicitly forbidden, with breaches risking immediate event termination without a refund. Clients are also held liable for any damages or injuries caused by their guests or third-party contractors.

Private Events Terms and Conditions

Deposit and Payment Schedule: Requires a non-refundable 25% deposit for private functions or £1,500 for weddings to confirm the booking. A further 50% payment is due 3 months prior to the event, with the final remaining balance due 21 days before the event. Any additional charges incurred during the event must be settled upon departure. 

Event Details & Numbers: Final food, beverage, and dietary choices must be provided at least 21 days in advance. Final guest numbers must be confirmed at least 7 clear days prior to the event, which will set the minimum charge.

Cancellation Costs: Cancellations made more than 6 months prior incur a 30% charge of the total cost. Cancellations between 6 and 2 months prior incur a 75% charge, and cancellations within 2 months of the event carry a 100% cancellation charge.

Exclusive Use: The hotel may host multiple events on the same day; exclusive wedding use requires an additional, non-refundable fee of £5,000.

Damages & Policies: The hotel may request a 10% damage deposit upon booking. Sound levels are strictly controlled using decibel meters, and no amplified sound is allowed outdoors. Outside food or drinks are prohibited unless explicitly permitted.

Corporate Events Terms and Conditions

Deposit & Credit Terms: For standard clients, a 25% deposit is required upon booking, with the remaining 75% due 21 days prior to the event. If credit facilities are approved (requiring 20 working days' notice), a 50% deposit is due 21 days prior, with the remainder invoiced. Approved credit invoices must be paid within 14 days.

Event Details & Guest Numbers: Menu choices, beverages, rooming lists, and special dietary requirements must be confirmed at least 15 working days before arrival. Minimum guest numbers are fixed as per the contract; any reduction will still be fully charged.

Cancellation Policies: Client event cancellations incur charges scaling from 25% (over 6 months prior), 50% (12 weeks prior), 75% (8 weeks prior), to 100% (within 8 weeks).

Accommodation Cancellations: Separate tiered cancellation charges apply to booked bedrooms (from 0% up to 90 days prior, rising to 100% for less than 15 days notice). However, up to 2 bedrooms may be cancelled free of charge up to 72 hours before arrival.

Venue Rules: Check-in is from 3:00 pm and check-out is by 11:00 am. Noise levels are actively managed via internal decibel meters, with no amplified sound permitted in the grounds.
